Code Of Conduct

As an institution, Gnanamani College of Technology has a number of objectives and deliverables against which the Board, Management, and the Institution as a whole are regularly evaluated by stakeholders. A key factor within our collective control in meeting or exceeding these deliverables is how we function as a team and how we interact with one another, as well as with individuals and organizations outside the institution.

The institution operates in multiple jurisdictions and regulatory environments. It employs staff and contractors from a wide variety of cultural and ethnic backgrounds, and we recognize the benefits, challenges, and opportunities that such diversity presents.

The Institution’s corporate culture is founded on openness, honesty, and integrity. We expect these principles to be reflected in all aspects of our operations and require that all representatives of the institution, regardless of their position or level of seniority, embrace and demonstrate these values when dealing with colleagues, partners, and other external stakeholders. The Board has established a framework of policies and procedures to support and implement this corporate culture and its associated requirements. In addition, it has adopted this Code of Conduct (the “Code”) to summarize, in a concise format, the expectations placed upon staff and what they can expect from the Institution.

While this document should not be read in isolation, it is intended to provide all institutional personnel with a broad overview of our expectations and requirements regarding their conduct, including the “do’s and don’ts” of working for the institution. The Code refers to a number of administrative policies and procedures throughout the document. Where further clarification or detail is required, readers are expected to consult the relevant policies and procedures. By adhering to the guidelines outlined in this Code, we believe that we can significantly contribute to achieving our goals and, consequently, the strategic objectives that the institution has set for itself.

CODE OF CONDUCT FOR EXECUTIVES

1. Every Executive shall discharge his/her responsibilities at all times in a manner that ensures compliance with all applicable laws, rules, and regulations governing the Institution, its transactions, and its personnel.

2. Every Executive shall avoid situations that may give rise to a conflict between his/her personal interests and the interests of the Institution. Where such a situation is unavoidable, the Executive shall disclose the matter in writing to his/her superior. In the case of a Director, such disclosure shall be made during the Board’s review meeting.

3. Every Executive shall perform his/her responsibilities in a manner that ensures full, fair, accurate, and timely disclosure, as required by law, in the accounts and records maintained and presented by the Institution.

4. Every Executive shall treat any unpublished or undisclosed information relating to the Institution as confidential and shall not disclose or transmit such information to any person who is not an employee or authorized representative of the Institution without the prior permission of his/her superior or the Chairman of the Board, unless such disclosure is required by law or under a lawful agreement to which the Institution is a party.

5. Every Executive shall strictly adhere to the policies, rules, and procedures of the Institution.

6. Every Executive shall, at all times, ensure the proper use and protection of the Institution’s funds, assets, and property.

7. No Executive shall knowingly suppress or withhold from the Institution any material fact that may be detrimental to its interests.

8. Every Executive shall contribute to maintaining a healthy, safe, and secure working environment within the Institution.

9. Every Executive shall avoid discrimination, harassment, or unfair treatment in any form on the basis of race, religion, gender, caste, nationality, or any other protected characteristic.

10. Every Executive shall adhere to fair, ethical, and lawful practices in all activities related to the operations of the Institution.

11. Every Executive shall ensure that he/she does not exploit opportunities arising from his/her position or employment with the Institution for personal gain.

12. No political contribution shall be made, either directly or indirectly, on behalf of the Institution without the prior approval of the Governing Board.

13. Every Executive shall ensure that no statement, interview, or communication is made to the press or any other media without proper authorization from the Executive’s superior, the Vice Chairman, or the Governing Board of the Institution.

14. Every Executive shall conduct himself/herself with integrity, professionalism, and respect for human dignity, human values, and the rights of others at all times.

CODE OF CONDUCT FOR ADMINISTRATIVE STAFF

1. All administrative staff shall report to the college at least 30 minutes before the commencement of working hours.

2. Administrative staff shall comply with the instructions and directives issued by the competent authorities of the Institution.

3. Administrative staff shall perform all assigned duties with dedication, diligence, and commitment.

4. Administrative staff shall maintain regular attendance and punctuality in discharging their responsibilities.

5. Administrative staff shall uphold professional ethics and maintain courteous, respectful, and professional behavior while interacting with authorities, colleagues, students, parents, and visitors.

6. Staff working in laboratories shall ensure the proper maintenance, safety, and cleanliness of laboratories and equipment under their supervision.

7. Administrative staff shall undertake additional duties and responsibilities assigned by the competent authorities from time to time.

8. Administrative staff shall carry out all assigned responsibilities promptly and efficiently without unnecessary delay.

CODE OF CONDUCT FOR THE PRINCIPAL

(As the Academic and Administrative Head of the Institution)

1. The Principal shall provide effective academic and administrative leadership for the overall development and progress of the Institution.

2. The Principal shall promote teaching, research, innovation, consultancy, and extension activities within the Institution.

3. The Principal shall facilitate and encourage faculty participation in orientation programmes, faculty development programmes, workshops, seminars, conferences, and other professional development activities.

4. The Principal shall oversee the admission process and ensure the maintenance of discipline and academic standards within the Institution.

5. The Principal shall supervise the administration and management of the Institution’s departments, library, laboratories, hostels, and other facilities, and shall take appropriate corrective measures whenever necessary.

6. The Principal shall ensure the proper maintenance of financial records, monitor receipts and expenditures, and submit periodic financial reports to the Management and the Governing Body as required.

7. The Principal shall ensure compliance with the financial rules, regulations, and accounting procedures of the Institution.

8. The Principal shall be responsible for all official correspondence relating to the administration and functioning of the Institution.

9. The Principal shall supervise and coordinate curricular, co-curricular, extra-curricular, and extension activities and ensure the welfare of students, faculty, and staff.

10. The Principal shall ensure compliance with all applicable Acts, Statutes, Ordinances, Regulations, Rules, and Orders issued by the Government, University, Regulatory Bodies, and the Institution from time to time.

11. The Principal shall supervise the conduct of examinations and ensure adherence to examination regulations and procedures prescribed by the University and the Institution.

12. The Principal shall oversee the preparation, maintenance, and verification of service records, confidential reports, and performance appraisals of teaching staff.

13. The Principal shall supervise the performance, service records, and welfare of non-teaching staff and ensure their efficient functioning.

14. The Principal shall implement and comply with directives issued by the Government, University, Regulatory Authorities, and the Management of the Institution.

15. The Principal shall safeguard the interests and welfare of students, faculty members, and non-teaching staff and address their legitimate concerns in a fair and transparent manner.

16. The Principal shall promote a culture of integrity, inclusiveness, excellence, accountability, and continuous improvement within the Institution.

 

CODE OF CONDUCT FOR TEACHERS

1. Teachers shall maintain the highest standards of integrity, honesty, professionalism, and ethical conduct in all their academic and administrative responsibilities.

2. Teachers shall work within the policies, rules, regulations, and procedures of the Institution and contribute towards the achievement of its vision, mission, and objectives.

3. Teachers shall maintain a neat, professional, and appropriate appearance and adhere to the dress code prescribed by the Institution.

4. Teachers shall cooperate and collaborate with colleagues, students, industry partners, and external agencies to promote the academic and overall development of the Institution.

5. Teachers shall treat colleagues, students, and other stakeholders with dignity, respect, and fairness, irrespective of their position, gender, caste, religion, nationality, or background.

6. Teachers shall maintain cordial and professional relationships with fellow faculty members, staff, and students and foster a positive learning environment.

7. Teachers shall maintain confidentiality regarding examination matters, student records, institutional information, and other sensitive matters unless disclosure is authorized or required by law.

8. Teachers shall comply with all lawful instructions, guidelines, and directives issued by the competent authorities of the Institution.

9. Teachers shall actively contribute to the academic growth, reputation, and continuous improvement of the Institution.

10. Teachers shall diligently fulfill their academic responsibilities, including teaching, mentoring, assessment, research, and other assigned duties, while maintaining the sanctity of the academic environment.

11. Teachers shall extend their services for the welfare of students, the Institution, and society through extension activities, community engagement, and professional service.

12. Teachers shall maintain accurate and up-to-date records related to their academic, administrative, research, and extension activities.

13. Teachers shall continuously enhance their professional competence by participating in Faculty Development Programmes (FDPs), workshops, seminars, conferences, training programmes, research activities, consultancy, and other scholarly pursuits.

14. Teachers shall encourage innovation, critical thinking, ethical values, and lifelong learning among students.

15. Teachers shall refrain from any form of discrimination, harassment, misconduct, or behavior that may adversely affect the dignity and reputation of the Institution.

16. Teachers shall serve as role models for students by demonstrating discipline, responsibility, accountability, and commitment to academic excellence

GENERAL DISCIPLINE

(Non-compliance with any of the Rules and Regulations may result in one or more of the following disciplinary actions.)

1. Counseling of the student.
2. Issuance of a warning letter to the parents/guardians and counseling of the student.
3. Debarment from the Institution for a specified period, including an academic year, depending on the severity of the misconduct and upon the recommendation of the competent authorities.

General Rules

1. Wearing a valid Identity Card (ID Card) on campus is mandatory at all times.

2. Students shall maintain decency and professionalism in their attire and appearance.

3. The prescribed dress code shall be strictly followed on all working days of the Institution.

4. Students shall wear the prescribed uniform or formal dress whenever they represent the Institution at academic, cultural, sports, or other official events.

5. Students are expected to maintain punctuality, discipline, and adherence to deadlines in all academic and institutional activities.

6. Students who fail to maintain the minimum attendance prescribed by the University/Institution shall not be permitted to appear for the examinations, as per applicable regulations.

7. Students shall maintain cleanliness and hygiene in classrooms, laboratories, the library, hostels, and all other areas of the campus.

8. Students shall strictly comply with all placement and career development guidelines issued by the Training and Placement Cell.

9. Students shall not communicate, publish, or disclose any information concerning the Institution to the media, social media platforms, or external organizations without prior written permission from the Principal or the competent authority.

10. Attendance for participation in academic activities such as seminars, conferences, workshops, paper presentations, competitions, and similar events conducted outside the Institution may be granted subject to prior approval from the concerned authorities.

11. Students shall conduct themselves in a manner that upholds the dignity, reputation, and values of the Institution.

12. Any form of ragging, bullying, harassment, discrimination, vandalism, or misconduct is strictly prohibited and shall attract disciplinary action as per applicable regulations.

1. Students shall be present in the classroom at least five minutes before the commencement of each session.

2. The use of mobile phones for calls, messaging, social networking, gaming, or any unauthorized purpose during class hours is strictly prohibited.

3. The use of laptops or other electronic devices in the classroom shall be permitted only for academic purposes related to the session in progress and with the permission of the faculty member.

4. Students shall maintain academic decorum, discipline, silence, courtesy, and attentiveness during classroom sessions.

5. Students shall not enter or leave the classroom during a session without the permission of the faculty member concerned.

6. Consumption of food or beverages inside classrooms during academic sessions is strictly prohibited unless specifically permitted.

7. Students shall maintain the cleanliness and orderly condition of classrooms and surrounding areas.

8. Students shall show respect to faculty members and fellow students and shall refrain from any behavior that disrupts the teaching-learning process.

1. A valid Identity Card shall be produced for the issue or return of library books and other resources.

2. Reference books, journals, dissertations, and other specified materials shall not be issued for home use unless otherwise permitted.

3. Students may borrow the number of books prescribed by the Library Rules for the stipulated loan period.

4. Students shall examine books carefully before borrowing them and immediately report any damage or missing pages to the library staff.

5. A fine shall be imposed for the late return of books as per the Library Rules in force from time to time.

6. Bags, personal belongings, and other prohibited items shall not be taken inside the library unless specifically permitted.

7. Eating, drinking, and any activity that may disturb other users are strictly prohibited within the library premises.

8. Students shall not leave valuables unattended in the library. The Institution shall not be responsible for any loss or theft of personal belongings.

9. Students shall maintain silence and proper discipline within the library at all times.

10. If a borrowed book or magazine is lost or damaged, the student shall replace it with the latest edition of the same title or pay the cost as determined by the library, along with any applicable penalties.

1. Books, notes, and all study materials shall be kept away from the examination desk as instructed by the invigilators/supervisors.

2. The possession or use of mobile phones, smart devices, electronic gadgets, or any other communication devices inside the examination hall is strictly prohibited.

3. Students shall not write or mark any information on their body, rulers, calculators, pencils, erasers, or any other personal belongings that may be used as unauthorized reference material.

4. Students shall not write any unauthorized matter on the question paper unless specifically instructed by the examiner.

5. Talking, communicating, or exchanging information with other students during the examination is strictly prohibited.

6. The use of any unfair means, malpractice, impersonation, or unauthorized assistance during the examination shall be treated as a serious disciplinary offense and dealt with according to the Institution’s and University’s regulations.

7. Students shall report to the examination hall at least ten minutes before the commencement of the examination.

8. Students shall carry their valid Identity Card and Hall Ticket/Admit Card and produce them whenever required by the examination authorities.

9. Students shall follow all instructions issued by the Chief Superintendent, Invigilators, and Examination Cell personnel during the examination.

10. Any violation of examination rules may result in disciplinary action as prescribed by the Institution and the University.

1. Viva-Voce examinations shall be conducted according to the schedule notified by the Institution. Students shall report to the designated venue at least ten minutes before the scheduled commencement time.

2. Before the commencement of the Viva-Voce, the student’s Identity Card and Register Number/Roll Number shall be verified.

3. The possession or use of mobile phones, smart devices, or any unauthorized electronic gadgets during the Viva-Voce examination is strictly prohibited.

4. Students shall conduct themselves in a polite, respectful, and professional manner throughout the Viva-Voce examination and shall adhere to the prescribed dress code.

5. After completing the Viva-Voce examination, students shall leave the venue quietly and shall not discuss questions or examination proceedings with students who are awaiting their turn.

6. The examiners conducting the Viva-Voce shall have full authority and responsibility for ensuring the smooth and fair conduct of the examination.

7. Students shall comply with all instructions given by the examiners and examination authorities during the Viva-Voce.

8. Any act of misconduct, indiscipline, impersonation, or use of unfair means during the Viva-Voce shall invite disciplinary action as per the Institution’s rules and regulations.
